GlossGenius is a scheduling and business-management platform for beauty, wellness, salon, spa, and medspa professionals. Business owners and authorized staff use the app or browser login, while clients book through an individual provider’s website without needing a GlossGenius login.

What GlossGenius does

GlossGenius combines online booking with business tools such as appointment management, payment processing, client records, reminders, reporting, marketing, and team functions. It is designed for solo providers as well as businesses with larger teams.

The system has two connected interfaces.

The private account contains the calendar, payment controls, services, policies, and administrative settings. The public booking site lets clients select a service and appointment time under the rules established by the business.

Clients do not need the owner’s account.

GlossGenius specifically promotes login-free client booking with no required app download. A client who reaches the main login page should return to the salon’s website, social profile, business listing, or direct booking link.

Where professionals log in

GlossGenius documents glossgenius.com/login as its computer-access route. Browser access is available alongside the official mobile app, although certain functions remain limited to the mobile version.

For example, the current support documentation says website customization, gift-card redemption management, and Genius Form management are mobile-app functions rather than browser tools.

A missing setting does not always indicate a broken login. The user may be in the browser instead of the app, signed into a different business, or working under a team role without the necessary permissions.

Check the account and device first. Skip a password reset when the actual issue is that a feature is unavailable on that interface.

GlossGenius also allows more than one business account to be managed under one login, according to its current subscription Help Center. That makes it particularly important to confirm which business is open before changing deposits or cancellation settings.

How appointment deposits work

GlossGenius allows a business to require a deposit as part of appointment booking. The company describes deposits as a way to reduce no-shows and late cancellations by collecting part of the service price in advance.

A deposit is not merely a card hold.

When the booking setup requires payment, the client pays the configured amount during booking or during a manually created appointment. GlossGenius also states that clients acknowledge the business’s non-refundable deposit policy, although the business can choose to issue a refund later.

Businesses should decide three matters before enabling deposits:

  1. Which services require one
  2. How the deposit amount is calculated
  3. What happens after a cancellation, denial, or no-show

Configure one test service first.

A deposit rule applied across an entire menu can produce unexpected totals on short, inexpensive, or consultation-based services. Test the client checkout, cancellation flow, and final appointment balance before applying the rule more broadly.

Deposits and appointment approval

Deposit timing depends partly on whether appointments are approved automatically.

When Auto-Approve Appointments is set to always approve, GlossGenius says the deposit is collected as soon as the client completes the online booking.

Manual approval works differently.

A pending appointment can be accepted or denied from the app’s Pending Appointments area. GlossGenius states that the deposit is not charged until the appointment is approved, so denying an unapproved request does not require a deposit refund.

This distinction is easy to miss.

A client may have entered payment information without a completed deposit charge when the appointment is awaiting approval. Owners should inspect the appointment status before promising a refund or assuming money has already been collected.

Do that first. Skip issuing a separate payment merely because the request screen shows that a deposit was required.

Card on file versus a paid deposit

A saved card and a collected deposit are different forms of protection.

GlossGenius can require valid card information during booking without immediately charging a cancellation fee. Its cancellation-fee documentation says no charge is attempted at booking unless the business has also configured deposits.

That means a card on file does not guarantee that a future charge will succeed. The card could later be replaced, restricted, expired, or lack available funds.

A paid deposit has already been processed. A cancellation fee is a later transaction attempted according to the business’s policy and the appointment’s status.

Businesses should avoid describing card-on-file booking as prepaid. That wording can create disputes when the client believes money was already taken.

Charging a cancellation fee

GlossGenius supports cancellation-fee actions through both the mobile app and browser login. The options shown can depend on when the appointment is being changed and whether the action occurs within the configured cancellation window.

Before the appointment date, an owner can cancel within the policy window, but no-show controls are not yet shown. No-show actions become relevant when the appointment reaches the appropriate stage.

The business should review:

  • The stated cancellation policy
  • The appointment’s scheduled time
  • Whether a deposit was already paid
  • The remaining amount that may be charged
  • Whether the client is being marked canceled or no-show

GlossGenius documents one specific error: “The charge amount must be at least $0.50 USD.” It can appear when the deposit already collected covers the calculated cancellation fee, leaving no sufficient second charge to process.

Do not keep retrying the same charge.

Review the deposit and cancellation-fee calculation first. A repeated attempt will not create an amount that remains unpaid.

Canceling an appointment with a deposit

Appointments with deposits can be canceled, and the business can decide whether to refund the deposit during that cancellation flow.

The action selected matters.

GlossGenius states that choosing Mark as No-Show (No Fee) for an appointment with a deposit can trigger a prompt asking whether the deposit should be refunded.

This means “no fee” does not automatically answer the deposit question. The no-show fee and the existing deposit are separate payment decisions.

A business may choose to retain a deposit under its published policy or return it as a customer-service decision. The provider should apply the policy consistently and keep the client-facing language clear before booking.

Policies can vary by region and business type. Local consumer rules, card-network requirements, and the provider’s written terms may affect how fees should be presented or handled.

Refunding a deposit

GlossGenius provides a manual deposit-refund process. The refund can be initiated when the business cancels the appointment or through the applicable deposit-payment controls.

A refund initiation is not the same as money appearing immediately in the client’s account.

The final posting time can depend on the payment processor and the client’s card issuer. Avoid promising an exact arrival time unless the current transaction screen or official support team provides one for that specific case.

Record why the refund was issued.

A brief internal note can help when another team member later reviews the appointment, payout, or client conversation. It also reduces the chance of issuing the same refund twice.

Why the cancellation charge failed

A failed fee does not necessarily mean the setting was configured incorrectly.

Common categories include:

  • The earlier deposit already covered the fee
  • The calculated remaining charge was below $0.50
  • The saved payment method could not complete the transaction
  • The appointment was outside the expected cancellation stage
  • The user selected a no-fee action
  • The signed-in staff member lacked the required access

GlossGenius validates card information when it is entered for booking, but that does not guarantee a later charge will be approved.

Check the appointment history and existing payment before changing the policy. Skip repeated attempts against the same card when the account already shows a failed result.

A business may need to contact the client directly or restrict future online booking according to its own policy. Account actions should remain within official GlossGenius tools.

Subscription pricing and access

GlossGenius currently offers paid subscription plans and a 14-day trial. The booking website becomes active when the trial account is created, according to the company’s support documentation.

Current pricing and feature availability should be verified on the official pricing page because GlossGenius distinguishes current plans from Legacy Member arrangements. The company defines Legacy Members as accounts active before September 3, 2025, for pricing purposes.

A subscription payment issue can also interfere with account access. GlossGenius advises contacting support when an expired or compromised card causes a failed payment and immediate access is needed.

Do not cancel an account merely to change its billing frequency. GlossGenius says monthly-versus-annual billing errors can be addressed without canceling the account.

Canceling or reactivating the account

GlossGenius provides an in-account cancellation form. Its current documentation says the booking site can remain accessible to clients until the end of the final billing cycle.

That creates an operational risk.

Before canceling, disable or review future availability so clients do not book appointments the business does not intend to honor. Also export or record any business information needed outside the platform.

A canceled account may later be reactivated by selecting a plan and completing payment. GlossGenius says data is retained when an account was canceled rather than fully deleted.

Reactivate the original account first. Skip creating a duplicate profile when the prior calendar, clients, services, and payment history may still be retained.

Contacting GlossGenius support

GlossGenius currently lists call and text support at 1-888-979-7864. Its official support article notes that calls or texts may involve automated systems or AI-generated content under the company’s terms.

Contact support when:

  • A deposit appears charged but cannot be located
  • A refund action produces an unexplained error
  • Subscription billing prevents account access
  • The wrong business appears after login
  • A cancellation fee calculation cannot be reconciled
  • A canceled account will not reactivate

Explain the appointment status, general payment type, and whether the problem occurs in the app or browser. Keep passwords, verification codes, and complete card information private.
