GlossGenius combines appointment scheduling, online booking, payments, and business-management tools for beauty, wellness, salon, spa, and medspa professionals. Owners and authorized staff use the app or browser account, while clients normally book through the provider’s public website without creating a GlossGenius login.
This independent guide is not affiliated with or operated by GlossGenius.
Use the professional account to manage calendar synchronization, working hours, personal blocks, and appointment spacing. Clients seeking an appointment should open the specific business’s booking page.
What GlossGenius does
GlossGenius provides a private business calendar connected to a public online-booking website. Professionals can create services, manage appointments, process payments, control availability, and organize client records from one account.
The client side works differently.
Clients see only the services and appointment times that the business makes available. GlossGenius currently states that they can complete online booking without downloading an app or creating a customer login.
That distinction prevents a common wrong-page problem. A client who reaches the main account login should return to the salon’s booking link. A professional who opens the public website will not see calendar-sync or availability controls.
Check the destination first.
Where professionals log in
GlossGenius professionals can access the platform through the official mobile app or a web browser. Browser access is currently available across all subscription plans.
The signed-in email must belong to the correct owner or team profile. A valid login can still display an unexpected schedule when the person manages several businesses, works at multiple locations, or has been added to another GlossGenius team.
Permissions matter too.
A staff member may be able to view a personal calendar but lack authority to manage another provider’s schedule or business-wide settings. Do not share the owner’s credentials merely because one calendar is missing.
Verify the active business, profile, and role first. Skip password recovery when the user can already open the account.
How two-way calendar sync works
GlossGenius offers two-way calendar synchronization with external calendars such as Google Calendar, Outlook, and iCal. Its official materials describe both directions: GlossGenius appointments can appear externally, and events from a connected personal calendar can appear inside GlossGenius.
The documented setup path is:
Settings > My Preferences > Two-Way Calendar Sync
This is more useful than a simple exported calendar because incoming personal events can help prevent client bookings during outside commitments.
The word “sync” should not be treated as an immediate guarantee for every change. External calendar providers can take time to exchange updates, and the exact behavior can depend on the connected service and permissions.
Test it before relying on it.
Create one clearly named test event in the external calendar, then verify whether it appears in GlossGenius and blocks the expected period. Delete the test only after both sides have been checked.
Calendar sync versus Personal Block
A synchronized external event and a GlossGenius Personal Block can both occupy time, but they are created and controlled differently.
A Personal Block is entered directly inside GlossGenius. The current mobile workflow is:
Calendar > + > Personal Block
The user adds a description, start time, end time, and optional repeating schedule. In the browser, the documented path begins with Add > Personal Block.
Personal Blocks are available across all current subscription plans and prevent clients from booking during the blocked period.
Use a Personal Block for time that must be protected inside the business calendar, such as lunch, vacation, training, or a private appointment.
Use synchronization when the event is already managed in Google Calendar, Outlook, or iCal and needs to be reflected across both systems.
Do not create both unless necessary. A synchronized event plus a matching manual block can produce duplicate-looking entries and make later troubleshooting harder.
Why a personal event did not block booking
When an external event appears but clients can still book the same time, inspect the synchronization configuration rather than assuming that every imported item blocks availability identically.
Check:
- The correct external calendar is connected.
- The event appears under the intended GlossGenius profile.
- Its start and end times are correct.
- Its time zone matches the business calendar.
- The event is not merely displayed without blocking availability.
- The sync completed before the client selected the time.
When the period must remain unavailable, create a direct Personal Block while investigating the connection.
Do that first. Skip repeatedly moving the client appointment, because the same opening can remain exposed until the underlying calendar rule is corrected.
A time-zone mismatch deserves particular attention when the owner travels or when the external calendar and business account use different regional settings.
Automatically blocking time after a service
GlossGenius lets a business attach buffer time after a service. The current mobile setup is:
Features > Services > Select service > Total Duration > Block Time After
The owner then chooses the desired amount of time after the appointment. The buffer appears in gray on the calendar when that service is booked.
This can protect cleanup, room turnover, travel, documentation, or preparation time.
There is a specific limitation: adding Block Time After to an existing service does not apply the buffer retroactively to appointments already booked with that service. It affects future bookings.
That detail explains why two appointments using the same service can show different spacing.
Review existing appointments manually after enabling the setting. For an appointment already on the calendar, GlossGenius documents editing the appointment, opening Total Duration, enabling Block Time After, and setting the required duration there.
Do not assume the calendar will rebuild older appointments automatically.
Service duration versus buffer time
Service duration and blocked time serve different purposes.
The service duration represents the appointment itself. Buffer time protects an additional period after it. Combining both into one oversized service duration can distort the client-facing appointment length or make staff utilization reports less useful.
For example, a 60-minute service with 15 minutes of cleanup should generally be configured as the actual service plus a separate post-appointment block when that reflects the real workflow.
This distinction also helps with team scheduling. The client’s appointment can remain 60 minutes while the provider stays unavailable for 75 minutes.
Check resource requirements as well. A provider may be free while a required room, chair, or piece of equipment is unavailable. GlossGenius advertises Resource Management alongside calendar and scheduling tools, so availability can involve more than one person’s calendar.
Why an open-looking time cannot be booked
A visible gap does not always fit the selected service.
The full appointment duration and any required blocked time must fit before the next event. A 60-minute service with a 15-minute buffer cannot fit into a 65-minute gap.
Other causes include:
- An external synchronized event
- A Personal Block
- Another provider assignment
- A recurring appointment
- Resource unavailability
- Working-hour boundaries
- Minimum booking notice
- Existing overlapping services
Inspect the exact start and end times. Do not judge availability only from the visual width of a calendar opening.
A client-facing booking page may also calculate availability differently from an owner manually creating an appointment. Internal users can sometimes create overlapping appointments intentionally, while public booking remains limited by the configured rules.
Double-booked and overlapping appointments
GlossGenius provides a documented workflow for intentionally scheduling overlapping or double-booked appointments.
That does not mean every conflict is intentional.
A duplicate can result from manual booking, an imported calendar event, a recurring series, another team member’s action, or an external sync change. Before deleting anything, determine which record is authoritative.
Check:
- Who created each appointment
- Whether one item came from an external calendar
- Whether both use the same provider
- Whether a resource is shared
- Whether the overlap was deliberately allowed
- Whether the client received confirmation
Do not delete the client appointment simply because a personal event appeared later. Decide which commitment should remain, then update the calendar and communicate the change through the proper workflow.
For services that permit safe overlap, document the reason. Color alone may not explain the schedule to another staff member.
Repeating personal blocks
GlossGenius allows Personal Blocks to repeat by days, weeks, or months until a selected end date.
This is useful for regular lunch periods, recurring classes, administrative time, or predictable days away.
It also creates a long-range risk.
A repeating block can quietly remove future availability after working hours change. Before creating a series for many months, check holidays, seasonal schedules, and existing appointments.
Use a clear description rather than a vague title. “Lunch” or “Off-site training” is more useful to authorized staff than “Busy.”
When a recurring block is no longer needed, edit the appropriate occurrence or series carefully. Removing the wrong scope can either leave unwanted future blocks or reopen dates that were intentionally protected.
Google Calendar is not Reserve with Google
Calendar synchronization and Reserve with Google are separate GlossGenius functions.
Two-way calendar sync exchanges schedule information with a personal calendar such as Google Calendar. Reserve with Google connects the business’s GlossGenius booking experience with its Google Business Profile so clients can discover and book through Google Search or Maps.
One manages the owner’s time. The other creates a client acquisition and booking route.
Connecting Google Calendar does not automatically add a booking button to a Google Business Profile. Likewise, enabling Reserve with Google does not replace personal calendar synchronization.
Check which outcome is needed before changing integrations.
GlossGenius currently associates Reserve with Google with eligible higher-tier plans in its comparison materials, so availability should be verified against the live subscription page.
What happens when the free trial ends
GlossGenius currently offers a 14-day trial. If no subscription payment method is added before the trial ends, the official support documentation says the user loses account access and is prompted to enter card information when signing in again.
That can look like a login failure.
Do not rebuild the calendar under a new account. Reactivate the existing profile so its services, appointments, blocks, and calendar settings remain attached.
The trial prompt and password-recovery screen solve different problems. A password reset will not restore access when the account is waiting for subscription activation.
Check the message on the login screen before choosing the next step.
Fixing the app before changing the calendar
When calendar changes do not appear correctly in the app, GlossGenius recommends checking the internet connection and updating the application.
Test the browser next.
When the web calendar shows the correct appointments but the mobile app does not, the issue is more likely connected to the app, device, or local connection. When both interfaces show the same incorrect availability, inspect services, blocks, synchronization, and working hours.
Keep the diagnosis narrow.
Do not delete the external calendar connection until you have documented which events are missing or duplicated. Reconnecting without understanding the current state can create more confusing calendar entries.
Frequently asked questions
Do clients need a GlossGenius login?
No.
Can GlossGenius sync with Google Calendar?
Yes. It also supports Outlook and iCal synchronization.
Where is the calendar-sync setting?
The documented path is Settings > My Preferences > Two-Way Calendar Sync.
Does new buffer time apply to existing appointments?
No. Block Time After applies automatically to future bookings; older appointments must be edited separately.
Can I create repeating personal blocks?
Yes. GlossGenius supports repeating blocks by day, week, or month until a selected end date.
Why can a client not book an open-looking gap?
The service plus its buffer may not fit, or the period may contain a synced event, personal block, resource conflict, recurring appointment, or working-hour boundary.
Does Google Calendar sync add a booking button to Google Search?
No. That is handled through Reserve with Google, which is separate from calendar synchronization.
Should I create another account when trial access ends?
No. Use the existing login and add the requested subscription payment information to reactivate access.
