GlossGenius is a booking, payment, and business-management platform for salons, spas, medspas, and other beauty or wellness providers. Professionals use the official app or browser account, while clients normally schedule through the individual business’s booking website without creating a GlossGenius login.

What GlossGenius is used for

GlossGenius combines online booking, appointment scheduling, payment processing, client management, marketing, reporting, and team tools. The platform is designed for both individual professionals and larger beauty or wellness teams.

Its public and private interfaces serve different users.

The public booking site displays services and appointment availability. GlossGenius says clients can book there without downloading an app or creating an account. The private account contains the professional calendar, checkout records, refunds, payouts, and administrative controls.

A client who reaches the professional login does not need password recovery. An owner who reaches the public booking page will not see transaction controls.

Check the page first.

Where professionals access payment records

Owners and authorized staff can use the GlossGenius mobile application or browser account. The exact controls shown depend on the person’s role, device, subscription, and business profile.

A team member may be able to view appointments but lack access to refunds, disputes, or broader financial information. That is a permissions issue, not necessarily a failed login.

Use the account associated with the correct business. This matters when an owner operates multiple locations or when a provider has previously worked under another GlossGenius account.

Do not share owner credentials merely because another user cannot open financial settings. Review the staff role first and keep payment actions limited to authorized people.

When the account itself will not open, use the official recovery controls and GlossGenius support. The company currently lists phone and text support at 1-888-979-7864.

Refunds and chargebacks are different

A refund is initiated by the business through its payment system. A chargeback begins when the cardholder asks the card-issuing bank to dispute and potentially reverse a transaction. GlossGenius uses “payment dispute” and “chargeback” for this bank-led process.

The distinction affects what happens next.

When a business voluntarily refunds a transaction, it controls the initial action through the account. During a chargeback, the issuing bank reviews the cardholder’s claim, and the business may be asked to provide information supporting the charge.

Do not issue another refund blindly after learning that a dispute has already been filed. The disputed transaction may already be moving through a separate reversal process.

Inspect the transaction status first. Then determine whether the account shows an ordinary refund, an active dispute, or both.

How GlossGenius reports a chargeback

GlossGenius says it informs members when a dispute is filed and supports them through the documentation process. Its chargeback guidance also recommends contacting the client when appropriate, since some disputes result from confusion or an accidental claim.

A client who agrees that the dispute was accidental must work with their card issuer to withdraw it. GlossGenius advises obtaining confirmation from the client’s bank and providing updates through the applicable support process.

Keep the records organized.

Useful business records can include the appointment details, receipt, payment method, signed documentation, communications, cancellation policy, and evidence that the service or product was provided. Only submit information requested through the official dispute channel.

Never alter or fabricate supporting records.

A dispute is a financial review. Inconsistent dates, edited messages, or unclear transaction descriptions can weaken the business’s response.

Which transactions receive chargeback protection

GlossGenius currently lists 100% chargeback protection as a Gold and Platinum plan benefit for qualifying transactions processed through a GlossGenius card reader or Tap to Pay. The protection is available through both mobile and browser account access, although the qualifying payment must have been accepted through the supported in-person methods.

The payment method matters.

A Gold or Platinum subscription alone does not make every transaction protected. The current official language ties protection to card-reader and Tap to Pay transactions. A manually entered card, invoice, card-on-file charge, cancellation fee, or another payment type should not be assumed to have identical coverage.

Check the original transaction record first. Skip broad statements such as “all payments are protected.”

GlossGenius also says protection can cover the business financially even when the cardholder’s bank rules against the merchant, provided the transaction meets the program requirements.

Eligibility and documentation should still be reviewed for the specific dispute.

Cancellation-fee disputes are excluded

GlossGenius explicitly states that disputes involving cancellation-fee charges are not covered by its Chargeback Protection program. Its Payments Team can still help gather and submit evidence, but the financial protection itself does not apply to that category.

That is a significant limitation.

A business may have a published cancellation policy and a valid card on file, yet still bear the financial outcome if the cardholder disputes the fee and the issuing bank rules against the business.

A policy improves clarity. It does not guarantee that every later charge will survive a bank dispute.

Before charging a cancellation fee, confirm:

  1. The policy was presented before booking.
  2. The appointment falls within the stated cancellation window.
  3. The charged amount matches the policy.
  4. The client received the relevant booking information.
  5. The transaction is recorded under the correct appointment.

Do not rely on chargeback protection as a substitute for clear client communication.

Preventing avoidable payment disputes

GlossGenius’s current dispute-prevention guidance recommends transparent sales policies, client waivers where appropriate, and use of qualifying protected payment methods.

Transaction descriptions also matter.

A client may recognize a salon’s public name but not the business name appearing on a card statement. Businesses should use consistent branding and explain charges in receipts or appointment communications when the statement descriptor may be unfamiliar.

For higher-value services, document what the client purchased, the date, and the agreed total. Include any deposit, package credit, membership benefit, retail item, discount, or gratuity in the checkout record rather than relying on an informal message.

Collect payment through the normal transaction flow.

A generic custom charge may produce less useful supporting detail than a properly itemized service and product checkout. Precise records also make refunds and sales reports easier to reconcile.

Tips and disputed transaction totals

A transaction may include more than the service price. Taxes, products, deposits, gratuity, discounts, and processing arrangements can affect the final amount the client sees.

Review the complete receipt before responding to a dispute.

For example, a client may remember authorizing a $100 service but overlook an added retail product or tip. The business should identify the exact total rather than responding only with the advertised service price.

Do not describe a gratuity as mandatory unless the checkout and published business terms clearly establish a required service charge. Ordinary voluntary tips should remain distinguishable from the base service amount.

When the client disputes only part of the experience, the bank may still open a dispute against the processed transaction. Follow the instructions shown for that case instead of attempting to divide the transaction after the fact.

Refunds can change payout totals

A successful card payment and a completed bank payout are separate stages.

The business can process a client transaction, later issue a refund, and then see that adjustment affect a future or pending transfer. This can make the payout total lower than the original group of completed sales.

Compare three records:

  • The client transaction
  • The refund status
  • The payout containing the adjustment

Do not assume money disappeared merely because the payout is lower than gross sales.

The same caution applies to a chargeback. Disputed funds and any related adjustment can affect the business’s available balance while the dispute is reviewed. The exact handling depends on the transaction and whether chargeback protection applies.

Use the payment and dispute records rather than estimating from calendar revenue.

What to do after a refund request

Start with the transaction, not the appointment message.

Confirm that the correct client and payment are open. Check whether the charge included a deposit, service, product, package, membership, tip, or cancellation fee. Then review whether any previous refund or dispute already exists.

The priority is avoiding duplicate reversals.

A client may contact the business after already asking their bank to dispute the charge. Issuing a separate refund at that stage can complicate reconciliation.

Pricing and payment coverage

GlossGenius currently advertises subscriptions beginning at an effective $24 per month with annual billing and a flat 2.6% ordinary payment-processing rate. The pricing page also lists 100% chargeback protection among eligible plan features and an additional 1.8% fee for Instant Payouts.

These are separate costs and benefits.

The subscription provides access to software features. Payment processing applies to transactions. Instant Payouts add an expedited-transfer fee. Chargeback protection depends on the plan and qualifying payment method.

Do not combine them into one “payment fee.”

Verify the live pricing and plan-comparison pages before subscribing because rates, plan features, and promotional terms can change.

Choose the required payment protections first. Skip a plan upgrade based only on marketing language without checking which transaction types the business normally accepts.
